How Much Event Space Do You Need for Your Holiday Gathering?

Looking for an event space this holiday season for hosting a gathering? Read on to learn about getting enough space and where you can rent space in Nashville for your holiday get-together.

How Much Event Space Do You Need for Your Holiday Gathering?

Whether you’re hosting a gathering of 10 or 100, getting enough space for party-goers to spread out and feel comfortable is of the utmost importance when renting event space. How do you best determine how much square footage you need for a certain number of guests? There are many factors that go into determining how much space you need for a gathering, including seating, layout, and even the weather.

Let’s get one thing out of the way upfront: sitting and standing room numbers aren’t going to be 100% accurate, so don’t estimate on the low end. Instead, when using event space calculators or the numbers provided by the rental space for your event, err on the side of caution. If a space should fit 50 people comfortably, assume it may be a bit lower than that—say 45. If an event room gives you 50 chairs, don’t plan for every single person sitting. It also doesn’t hurt to bring some of your own chairs or request more (many event spaces may have extras on hand). You also need to consider what’s going on in that space. If 50 square feet of your holiday event space are dedicated to the dance floor, that’s 50 square feet you can’t use for seating. Similarly, make sure you consider how many tables and chairs you have to determine whether they’re going to greatly impact the amount of standing room the venue has available. It always helps to be generous with your estimates to ensure nobody is stuck standing when seating becomes limited.

In the winter, gatherings become a bit limited. Many times, you can’t have your party spill out into the outdoors due to the cold or just bad weather. Don’t let Nashville winter rainstorms put a damper on your gathering. While we sometimes get mild weather, it’s never a good idea to count on the temperature or precipitation to cooperate. Make sure the venue you’re looking at doesn’t include a patio or other outdoor space in the stated square footage; otherwise, you could be calculating with the wrong numbers!

You want the memories to be all about the event, not the logistics. If you’re looking to rent event space near you without worrying too much about calculating the possibilities, look no further than Center 615. We’ve hosted a variety of gatherings for members and first-timers alike, so we know our space well. Let us help you get your event underway and alleviate your set-up stress this winter.

What Else Do You Need to Host Your Holiday Gathering?

Space is a big component when it comes to planning a holiday gathering, but it isn’t the only factor when planning a party. What else do you need from an event space for a holiday party to ensure things move smoothly? As we’ve already mentioned, seating and tables might be necessary. Additionally, you should look for a space with a good sound system for copious Christmas music. Finding a place that has a catering connection can make your job easier when it comes to planning food. If the event space has a recommended caterer, look into them and make sure they offer the types of foods and services you want for your gathering. The type of space also matters. A gallery is going to have a different layout than a banquet hall or karaoke room, so make sure you’re looking at the floor plan of the rental space as well. If you’re unclear on what you need from your Nashville event space this holiday season, don’t hesitate to ask for some help from the people providing the venue. In the end, this is their business, and they should be able to help you make sense of your needs, even if this is your first time hosting an event.
